Otter, Inc. ("Otter," "we," "us") provides a vendor management and compliance platform for automotive dealerships and the vendors who serve them. This Privacy Policy explains what information we collect, how we use it, and the choices you have.
1. Information we collect
- Account information. Name, work email, organization, and role.
- Vendor & dealer data. Vendor lists you upload, contracts, certificates of insurance, infosec documentation, and related metadata.
- Usage data. Logs of pages visited, actions taken, and aggregate analytics.
- Cookies. Essential session cookies to keep you signed in.
2. How we use information
- To provide, maintain, and improve the platform.
- To send transactional email (vendor invitations, compliance reminders, account notifications).
- To monitor security and prevent abuse.
- To comply with legal obligations.
3. Sharing
We do not sell personal information. We share data with sub-processors strictly necessary to operate the service (hosting, authentication, email delivery, e-signature) under contract terms that limit their use to providing those services.
4. Data retention
We retain account and document data for the lifetime of your account plus any retention period required by law. You can request export or deletion at any time.
5. Your rights

6. Security
Data is encrypted in transit (TLS) and at rest (AES-256). Document storage uses signed URLs with access checks on every download. Multi-tenant isolation is enforced at the database row level.
7. Changes
We may update this policy. Material changes will be communicated via email or in-app notice prior to taking effect.
